A brief definition of 'Bulk Mail': All pieces must be identical. There is a minimum of 200 pieces for Nonprofit or standard rates.
Nonprofit must be approved in advance. First Class Presorted requires a minimum of 500 pieces. The USPS Move Update
requirements must be met for First Class and beginning November 12, 2008 move update also applies to Standard mail.
Mailing addresses for any presorted mailing must meet the USPS move update requirements beginning November 23, 2008.
For this reason CMR will no longer process pre-addressed mailings beginning September 1, 2008. After September 1, 2008
pre-addressed mailings will be sent at the First Class Mail rate. Please call or email CMR for more information.
Foreign addresses must not be included in a mailing. They are required to be in sealed envelopes and mailed with foreign budget mail.
Six easy steps for seamless bulk mail entry:
1. Contact CMR in the Design stages of your bulk mailing.
The USPS is constantly implementing new regulations, not following the USPS rules will cost you time and money!
2. Download the Campus Mail Invoice Template (MS Excel format), fill out the purple shaded areas and e-mail to campusmail@uidaho.edu.
3. We must have the IDG e-mailed to CMR before we can begin the job. Make sure to include in the Notes section:
a. Description of mail piece (postcard, #10 envelope, brochure and name of the mail piece)
b. Class of mail (First, Standard, or Nonprofit)
c. Service needed (tabbing, printing, folder/inserter, etc.)
***d. The address layout requested. Which fields from the address database would you like printed in the address?***
4. Print a copy of the filled out IDG and attach it to the bulk mailing when sending through campusmail.
5. Campus Mail and Receiving will provide the proper containers for your mail. Letters must be in letter trays,
pieces larger than 6 1/8" x 11 1/2 must be layed flat in white tubs. Please call to arrange delivery and pick up of trays or tubs.

The address_1 and address_2 fields must have address information (street number & name, PO Box, Suite number) ONLY in the fields!
Company names must be in COMPANY field ONLY! Names must be in the correct name fields (first name in First, last name in Last).
Spouse names may be in separate first and last name fields. Do not mix first names in the primary first name field, Joe & Jane,
Joe must be in First field and Jane in Spouse first field.
This format is required for NCOA (move update) processing!!

Notes:
Mail that is urgent and must reach its destination quickly should not be sent at the standard or nonprofit rate.
The mailing may not reach the destination on time.
Please allow 3 to 5 days for Campus Mail & Receiving to process your mailing. There will be an extra charge
for RUSH service.
Please call ahead for large presorted mail pick-ups so that your carrier is prepared with a hand truck if necessary.
Do not use clasps on envelopes that will have the address printed or sealed by Campus Mail and Receiving.
(A USPS nonmachinable surcharge will be applied to
mail pieces with clasps.)
It is no longer required to nest envelopes. CMR has newer machines that will seal non-nested envelopes better
than nested envelopes.
